1. About these terms

These Terms & Conditions ("Terms") govern your use of the 13 Weeks Holidays website and your booking of group travel with us. By placing a booking or using our services, you agree to these Terms.

13 Weeks Holidays organises women-only group trips timed around UK school holidays. We act as an organiser coordinating travel arrangements with third-party suppliers.

2. Booking a trip

To secure a place on a trip you must:

  • Complete the online booking form accurately and in full.
  • Pay the required deposit (typically £200 per person unless stated otherwise on the trip page).
  • Accept these Terms and our Privacy Policy.

3. Prices & payments

Prices shown on our website are in GBP and based on per-person rates unless stated otherwise. A deposit is required to confirm your booking. The remaining balance is payable according to the instalment schedule communicated at booking, with final payment typically due 30 days before departure unless otherwise specified.

Payments are processed securely through our online checkout. Failure to pay instalments on time may result in cancellation of your booking and loss of deposit, subject to the cancellation terms below.

4. What is included

Each trip page lists what is included and excluded for that specific departure. Inclusions typically cover accommodation, selected meals, transfers, and curated experiences as described on the trip page. Flights, travel insurance, visas, personal expenses, and items marked as not included are your responsibility unless explicitly stated.

5. Changes by you

If you need to change your travel period, traveller details, or other booking information, contact us as soon as possible. Changes are subject to availability and may incur an administration fee. Name changes may be restricted by airline and supplier rules.

6. Cancellations & refunds

If you cancel your booking, refunds depend on how far in advance you cancel and the costs already incurred with suppliers. A summary of typical cancellation charges will be provided at booking. Deposits are generally non-refundable except where required by law or where we cancel the trip.

We strongly recommend comprehensive travel insurance including cancellation cover from the date of booking.

7. Changes or cancellation by us

We may alter trip itineraries, accommodation, or arrangements where necessary due to operational, safety, or supplier reasons. If we make a significant change or cancel a trip, we will notify you promptly and offer a suitable alternative, credit, or refund as appropriate.

We are not liable for changes caused by events outside our reasonable control (see Force majeure).

8. Your responsibilities

You are responsible for:

  • Ensuring your passport, visa, and travel documents are valid for your destination.
  • Arriving at agreed meeting points on time.
  • Behaving respectfully towards other guests, hosts, and local communities.
  • Disclosing relevant health, mobility, or dietary requirements at booking.
  • Taking out adequate travel insurance before departure.

9. Travel insurance

Travel insurance is not included unless explicitly stated. We require all guests to hold suitable insurance covering medical expenses, cancellation, personal belongings, and activities included in the trip.

10. Liability

We take care in selecting suppliers and planning itineraries, but many services are provided by independent third parties (airlines, hotels, activity operators). Our liability is limited to the extent permitted by law and does not extend to events outside our control or losses that could have been covered by insurance.

Nothing in these Terms limits liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded under UK law.

11. Force majeure

We are not responsible for failure or delay caused by events beyond our reasonable control, including natural disasters, pandemics, government restrictions, strikes, or supplier failure. In such cases we will work with you to find reasonable alternatives where possible.

12. Complaints

If you have a complaint during your trip, please inform your trip host or contact us immediately so we can try to resolve it on the spot. After your return, email book@13weeksholidays.com within 28 days with full details.

13. Governing law

These Terms are governed by the laws of England and Wales. Disputes are subject to the exclusive jurisdiction of the courts of England and Wales, without prejudice to mandatory consumer rights in your country of residence.
